Your organized flight has been canceled.
Write a letter to the airline company. In your letter
1) complain about the situation
2) request what you need from them to make a travel insurance claim
3) suggest what they should do in future situations.
Dear Sir or Madam,
I am one of the travelers whose flight was recently canceled because of airplane issues. I am writing to give my thoughts about the situation and request for documents needed for my insurance claim.
While I understand mechanical issues sometimes occur, this has greatly affected my schedule. I am supposed to attend a week-long seminar, but I will miss the first few days because of this cancellation.
Fortunately, I was prudent enough to get travel protection. Please provide me with the needed documentation from your office to make my claims, namely the official reason for the flight cancellation.
To avoid future incidents, as a big airline, you ought to have a contingency plan in case of unforeseen incidents. Whether this is an extra plane or a tie-up with another airline is up to you, but good-paying passengers should not suffer. Furthermore, I was unhappy that your staff did not answer our queries about the airplane’s status, even if they already knew. I only brought carry-on luggage, so I could have gotten another flight had I been informed immediately. Please adjust your communication policies so that passengers know their options when situations like this occur.
Sincerely,
Donna Munroe
